Jewelry Repair for Insurance & Warranty Claims: A Retailer's Guide

What does a retailer need from a claims repair partner?

Three things, in this order: documented custody of every piece from intake to return, its own insurance on the goods while they are off your premises, and paperwork a claims adjuster will accept without a second request. Bench skill is assumed. The reason claim programmes fail is almost never the quality of the solder — it is a piece that cannot be located on a Tuesday, or a file that cannot substantiate what was done.

RJS has operated as a repair facility since 2002 and is named as a repair partner by retailers and administrators including Assurant, Macy's, Zales, Bloomingdale's, JCPenney and Belk.

Why claim repairs are a different job from retail repairs

A walk-in repair has one stakeholder. A claim repair has at least three, and each wants something different:

Stakeholder What they need What goes wrong
The customer Their piece back, intact, quickly Silence during the gap between drop-off and return
The retailer Not to own the liability, not to lose the customer Piece leaves the store and the store loses visibility
The insurer / administrator Evidence that the covered loss is what was repaired Vague invoices; no before-condition record

A repair partner that only solves the customer's problem creates work for the other two.

The chain-of-custody standard to hold a vendor to

Ask any prospective partner to describe, step by step, what happens between the moment a piece leaves your counter and the moment it comes back. A defensible answer covers:

  1. Logged intake — piece recorded against a claim or ticket reference on arrival, not at the end of the day.
  2. Documented condition on arrival — so a pre-existing chip is not later attributed to the bench.
  3. Custody through the bench — the piece is traceable to a stage, not just to a building.
  4. Written scope before work — what will be done, quoted, and approved by the party paying.
  5. Documented condition on completion.
  6. Insured return, tracked, back to the store or direct to the customer under your name.

Every RJS repair moves through a documented 100% chain of custody, and goods are covered by a Lloyd's of London Jewelers Block Policy while in our possession.

Jewelers Block: the question most retailers forget to ask

A general liability policy does not cover other people's jewellery sitting on someone else's bench. Jewelers Block is the specific line of coverage that does. Two questions worth asking any vendor:

  • Do you carry a Jewelers Block Policy, and who is the underwriter?
  • Will you provide a certificate of insurance naming the limits?

If a vendor cannot answer both in a sentence, the goods are effectively travelling uninsured and your store is carrying that risk.

Warranty repair vs. insurance claim vs. goodwill repair

These get conflated and they should not be, because each has a different payer and a different documentation burden:

  • Manufacturer warranty repair — covered by the maker under its terms; must be performed by a facility the maker accepts. RJS is an authorized repair partner for Charles & Colvard and accepts Charles & Colvard warranty-covered claims. For every other brand we service, we are an independent repair facility, not an authorized partner.
  • Insurance claim repair — covered by a policy after a loss event; needs before/after condition evidence and an itemised scope.
  • Goodwill / store-account repair — the retailer absorbs the cost to keep the relationship. Fast turnaround matters more than paperwork.

Routing all three through one intake process is what keeps a programme manageable at volume.

Keeping your brand in front

Claim repairs are a retention moment, not a logistics problem. White-label fulfilment means the customer's piece comes back in your packaging, with your correspondence, on your timeline. The customer experiences your store solving their problem. That is the entire point of using an outside bench rather than a brand-visible third party.

Frequently asked questions

What should a retailer look for in a jewelry repair partner for insurance and warranty claims? Documented chain of custody, its own Jewelers Block insurance covering goods in the vendor's possession, written scope and approval before work, condition records on arrival and completion, and white-label return so the customer stays yours.

What is a Jewelers Block Policy and why does it matter for retailers? It is the specialist insurance line that covers jewellery while it is in a jeweller's or repairer's custody — including in transit. General liability does not cover it. RJS carries a Lloyd's of London Jewelers Block Policy.

How does chain of custody documentation work for claim repairs? Each piece is logged against the claim reference at intake, condition is recorded before work, custody is traceable through each bench stage, scope is approved in writing, condition is recorded again at completion, and the return ships insured and tracked.

Can an outside repair facility handle manufacturer warranty claims? Only where the manufacturer accepts that facility. RJS is an authorized repair partner for Charles & Colvard and accepts its warranty-covered repairs. For other brands, RJS performs repair work as an independent facility, not under manufacturer authorisation.

Does using an outside bench mean losing the customer relationship? Not under a white-label programme. Packaging, correspondence and the return all carry the retailer's brand; the repair facility stays invisible.
